Reservations will be accepted a maximum of eighteen months in advance.
To Reserve A Date, We Need:
Non-refundable deposit of 50% of the rental fees are due at the time the reservation is made. This deposit is non-refundable in the event of cancellation. The security deposit, and all remaining rental fees, is due six months before the date of the event. For events booked less than six months in advance, full rental payment is due at the time the reservation is made. If you cancel eighteen to six months before the event, 50% of the rental payment is forfeited. Cancellations between six months and three months prior to the date forfeit 75% of the total rental fees. Cancellations made three months or less prior to the date forfeit 100 % of the total rental fees.
Signed Renter’s Contract and Rules & Conditions Agreement; this contract lists the terms of rental and the cancellation policy, and also releases Stonebridge Gardens from liability for injury or damage claims. The Rules & Conditions Agreement specifies conditions of use as well as cleaning and decoration rules.
Signed Use Permit; the Use Permit lists the specific details of your rental.
Only when the 50% rental fee deposit, signed Use Permit, signed Contract and signed Rules & Conditions Agreement are on file will your reservation be secured. If deposit payment is made without submitting paperwork, the signed forms are due no later than one week after the payment date.
Due Six Months In Advance Of Your Date:
Security Deposit of $250 to $800 depending upon the event. This deposit is due six months before your event date. If you stay within your contracted rental time, leave the area in a clean condition and no damage occurs during your rental, this deposit will be refunded 3-4 weeks after your booking.
Due 30 Days In Advance Of Your Date:
Personal Liability Insurance; A Certificate of Liability Insurance providing Bodily Injury and Property Damage Liability protection in the amount of $1,000,000 per occurrence, and naming Stonebridge Gardens and its owners as additional insured is required at least 30 days in advance of your event.
Catering and Alcohol
Stonebridge Gardens maintains a Preferred Caterers List. For most events, a licensed caterer must be in charge if food is served. All food service providers must be approved by the management. Alcohol service providers must be selected from our pre-approved list.

Inclement
Weather, Cancellation, Interruption If the event is cancelled or interrupted due
to weather, illness or any other cause, Stonebridge Gardens will not be
responsible to User for any losses or expenses.
The Use Fee, or any portion thereof, shall not be refunded for any
reason. (Note: User may consider the
purchase of event cancellation insurance from an insurance carrier.)
